Deletion of your data

🔒 Your right to be forgotten

The EU General Data Protection Regulation (GDPR, EU Regulation 2016/679) grants you the right to request the deletion of your personal data. Kiwii honours this right and offers you several ways to exercise it.

📂 What data we hold

Kiwii may hold information about you in any of these cases:

  • Kiwii customer company: contact details, billing, service usage.
  • Employee of a customer company: name, ID number, phone, time-tracking records, payslips, employment documents.
  • Candidate in the job pool: CV, contact details, job preferences.
  • Contact via WhatsApp: phone number and messages exchanged with companies that use Kiwii.
  • Accountancy firm lead: company name, contact, business email.

📧 How to request deletion

Option 1 · Email (recommended)

Send an email to [email protected] with the subject "Data deletion request" and include:

  • Your full name
  • The email, phone number or ID number under which you appear in Kiwii
  • If you are an employee of a customer company, state the company name
  • Confirmation that you are the owner of that data (attach a copy of your ID if possible)

Option 2 · If you are a customer company (you have an admin account)

You can delete your account directly from the panel: go to /adminAccountDelete account. This deletes your company and all associated data (employees, time records, documents, invoices), while respecting the mandatory legal retention periods.

Option 3 · If you are a candidate in the job pool

Go to your candidate area, verify your email with the OTP, and delete your profile from there.

⏱️ Response time

We will respond to your request within a maximum of 30 calendar days from receipt. In most cases we do so in less than 72 hours.

⚠️ Data we cannot delete immediately

Regulations require us to retain certain data for specific periods:

  • Working-time records: 4 years (art. 34.9 of the Spanish Workers' Statute · Royal Decree-Law 8/2019).
  • Payslips and employment documentation: 4 years (tax and labour obligation).
  • Invoices issued: 6 years (Spanish Commercial Code).

Once those periods have elapsed, the data is automatically deleted or anonymised.

📱 Data via WhatsApp / Meta

If your only relationship with Kiwii is having messaged a company that uses our platform via WhatsApp, send us an email with your phone number in international format (for example +34600123456) and we will delete the message history and the contact.

🛡️ Right to complain

If you are not satisfied with our response, you can lodge a complaint with the Spanish Data Protection Agency (AEPD) (aepd.es).
