How to Track Hours for Hospitality Staff Without an App

Kiwii · · 6 min read

If you run a pub, restaurant or café, you already know that tracking staff hours is one of those jobs that sounds simple and never is. Shifts change at the last minute, someone covers a Saturday for a mate, a new starter forgets to sign the sheet, and by the time you sit down to do the rota and the payroll, you are piecing together a week from memory and scraps of paper. Add in the legal duty to keep proper records, and it becomes something you cannot afford to get wrong.

The usual advice is to install a time-tracking app. For hospitality, that advice often falls flat. This guide walks through why, and how you can track hours accurately without asking your team to download anything at all.

Why do time-tracking apps struggle in hospitality?

Hospitality has a workforce that most software was never designed for. A large share of your team may be casual, seasonal or part-time. People come and go between venues. Some staff are teenagers on their first job, some are older workers who are not comfortable installing and configuring apps, and some simply do not want work software on their personal phone. When you ask ten new starters to download an app, create an account, verify an email and grant permissions, you can reasonably expect that only a handful will do it properly on day one.

Then there is the practical side of a busy kitchen or bar. Phones are often in lockers or the back office during service. A member of staff might not have their own smartphone at all, or might be low on storage, on an old handset, or out of data. Every one of these is a reason a shift goes unrecorded, and every missing record is a gap you have to chase later. The tool meant to save you time ends up creating admin.

What does the law actually require you to keep?

You do not need to be a solicitor, but it helps to know the shape of your obligations. Under National Minimum Wage rules, employers must keep records that are sufficient to show that each worker is being paid at least the minimum wage, and those records must be kept for six years. If a worker or HMRC ever queries pay, the burden is largely on you to show the hours worked and the pay given.

Separately, the Working Time Regulations set limits and entitlements around working hours and rest. Staff are generally entitled to a rest break when they work more than six hours, along with daily and weekly rest. Keeping a clear, reliable record of when people actually started, finished and took breaks makes it far easier to show you are meeting these duties, and to spot problems before they become disputes.

The common thread is simple: you need records that are accurate, timed and hard to argue with. A handwritten sheet that anyone can fill in after the fact, or a spreadsheet reconstructed on payday, is exactly the kind of record that causes trouble when it matters.

How can staff clock in without installing anything?

This is where a WhatsApp-based approach changes the picture. Almost everyone in the UK already has WhatsApp on their phone and already knows how to use it. If your team can send a message, they can clock in. There is nothing to download, no account to create, no new password to forget, and no training session required.

With Kiwii, an employee simply sends a message to clock in at the start of their shift and another to clock out at the end. The system records the time automatically and, where enabled, captures the location so you can confirm the person was actually at the venue. Because it runs on a phone your staff already carry and already understand, adoption is close to effortless. A new starter can be clocking in on their very first shift without you standing over them installing software.

This directly solves the "staff without apps" problem. It does not matter if someone has an old handset, is low on storage, or refuses to install work apps on principle. WhatsApp is already there. For the rare case where a team member does not use WhatsApp at all, Kiwii also offers a mobile app and even a smartwatch option, so you are never left with a member of staff you cannot record.

How do you set this up in your venue?

Getting started does not need to be a project. Here is a straightforward way to roll it out:

  • Add your team. Enter each employee's name and mobile number once. This is the only setup they depend on, and you do it, not them.
  • Explain the two messages. Tell staff to send one message to clock in when they arrive and one to clock out when they leave. That is genuinely the whole instruction.
  • Do a trial shift. Run it for a day or two with a small group so everyone sees it working before you switch off the paper sheet.
  • Check breaks are captured. Make sure your team knows how to record the start and end of a rest break, so your Working Time records are complete.
  • Review at the end of the week. Instead of reassembling hours from memory, you open a ready-made record of who worked when, with times you can trust.

Why do tamper-proof records matter so much?

A paper sign-in sheet has an obvious weakness: anyone can write anything, at any time. Hours can be rounded up, forgotten shifts filled in days later, and there is rarely any proof of when an entry was made. If a pay dispute lands on your desk, or HMRC asks questions, a sheet like that offers little protection.

Digital clock-in records solve this because each entry is timestamped at the moment it happens and cannot be quietly edited after the fact. With location capture, you also have evidence that the person was at the venue rather than clocking in from home. For a small business, that reliability is not about distrust of your team. It is about protecting both sides: your staff get paid accurately for the hours they genuinely worked, and you have a clear record if anyone ever questions it.

Bringing it together

Tracking hours in hospitality does not have to mean chasing paper, decoding a spreadsheet on payday, or begging a reluctant team to install yet another app. By letting people clock in with a tool they already use every day, you remove the biggest barrier to accurate records: getting staff to actually use the system. You end up with timed, tamper-proof records that support your National Minimum Wage and Working Time obligations, and you get your evenings back from the rota admin.

Kiwii is built for exactly this kind of business, with UK pricing in pounds and clock-in over WhatsApp so nobody needs to download anything. If you would like to see how it would work for your venue, it is worth a short look before your next rota.
